1. Who We Are

Switchboard is operated by switchboard-ai.com (Canada) (“we”, “us”, “our”) and provides an AI-powered business operations platform. This policy explains how we handle your data when you use our services.

2. Data We Collect

• Account data: Name, email address, company name (via Google OAuth)
• Business data: Customer conversation threads, contact attributes, CRM metadata, appointments, and operational documents you upload
• Usage data: Feature usage, error logs, performance metrics
• Communication data: Messages and conversations processed through our AI agents

3. How We Use Your Data

• Provide and improve the Switchboard platform and AI agents
• Triage inquiries, coordinate business integrations, and execute operational workflows on your behalf
• Send transactional emails (billing receipts, appointment reminders)
• Monitor platform health and fix errors

Canada (PIPEDA): We collect, use and disclose personal information with your knowledge and consent, only for the purposes identified in this policy, as required by the Personal Information Protection and Electronic Documents Act (PIPEDA). Where Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25) applies, we follow its transparency, consent and individual-rights requirements.

Legal basis (GDPR): Where the EU or UK GDPR applies, we rely on contract performance (Art. 6(1)(b)) for core features and legitimate interests (Art. 6(1)(f)) for security and fraud prevention.

4. Marketing Communications (CASL)

We send commercial electronic messages only with your express opt-in consent, as required by Canada's Anti-Spam Legislation (CASL). Every marketing message identifies switchboard-ai.com as the sender, includes our contact details, and contains a working unsubscribe link. Unsubscribe requests are given effect as soon as possible and no later than 10 business days after they are sent. You can also withdraw consent at any time by emailing ram@switchboard-ai.com. Transactional and service messages (for example billing receipts and security notices) are not marketing messages.

5. Data Sharing & Sub-processors

We share data only with the following processors to deliver our service. For the full up-to-date list, see our Sub-processors page.

Some of these processors store or process data outside Canada, so it may be accessible to courts and authorities in those countries under their laws.

6. Data Retention

We retain your data for as long as your account is active. Upon cancellation, account data is retained for 30 days then deleted. You may request immediate deletion by contacting us at ram@switchboard-ai.com.

7. Your Rights (PIPEDA / Law 25 / GDPR / DPDP)

• Access: Request a copy of all data we hold about you
• Erasure: Request deletion of your account and associated data
• Portability: Export your data in machine-readable format
• Rectification: Correct inaccurate data
• Objection / withdrawal of consent: Object to processing or withdraw consent, subject to legal or contractual restrictions

To exercise any right, email ram@switchboard-ai.com. We respond within 30 days. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada, the Commission d'accès à l'information du Québec, or your local data protection authority.

8. Security

We use TLS 1.3 in transit, AES-256 at rest for sensitive credentials, and follow security best practices including regular dependency audits. Report security issues to ram@switchboard-ai.com.

9. Children

Switchboard is a business service not directed to individuals under 18; we do not knowingly collect personal data from children. If you believe a child has provided us personal data, contact ram@switchboard-ai.com and we will delete it.
